Job Description – Sales Coordinator (Pharma Machinery/Packaging Industry)

Role Overview
The Sales Coordinator will support the sales function of a Pharma Machinery & Packaging Solutions company by managing AMC, Quotations, Purchase Orders (POs), Proforma Invoices (PI), and related sales documentation. The role involves close coordination with pharma customers, the internal sales/service team, and Taiwan HQ to ensure accurate communication, smooth order execution, and timely closure of pre- and post-sales activities.
This position requires industry-specific knowledge of pharma machinery sales processes, strong organizational skills, and customer-centric communication abilities.
Key Responsibilities1. Quotations & AMC Management
Prepare accurate quotations for pharma machinery, change parts, and spares.
Ensure updated pricing, scope, and revisions are maintained for transparency.
Prepare and track AMC (Annual Maintenance Contract) proposals, ensuring timely renewals with pharma clients.
Support the sales team in negotiations with management-approved pricing modifications.
2. Purchase Order (PO) Handling
Follow up with pharma customers for PO receipt within agreed timelines.
Verify PO terms: scope, technical specifications, warranty, payment, and Incoterms.
Raise PO amendments if discrepancies arise and coordinate corrections.
Track spares and change part orders till closure.
3. Proforma Invoice (PI) & Order Acknowledgement (OA)
Draft and issue PI & OA using company-approved templates.
Coordinate with Taiwan HQ for finalization and ensure alignment with approved scope.
Share final PI & OA with customers, including:
Delivery schedules
Layout approvals
FAT (Factory Acceptance Test) samples
Advance payment requests
4. Pharma Customer Communication
Respond to customer emails promptly (no mail should remain unattended).
Confirm quotation receipt with customers and schedule follow-ups for technical discussions.
Share updated product videos, presentations, and pharma packaging solutions to support sales growth.
Send weekly/monthly updates to pharma customers on project/order progress.
5. Documentation & Reporting
Maintain pharma-specific sales documentation (Enquiry Sheets, Quotations, PI, PO, FAT records, AMC/Warranty).
Organize Google Drive / digital folders for easy accessibility of records.
Generate and share:
Weekly Enquiry Report
Monthly Project Order Report
Monthly Shipment Report
Monthly Pending Payment Report
AMC/Warranty Tracking
6. Order Execution & Process Support
Support FAT execution, dispatch planning, and customer visits (local & international).
Track shipments till customer site or port and ensure pharma clients receive updates.
Maintain and monitor installation calendar in coordination with service engineers.
Ensure timely closure of spares, change parts, and AMC-related enquiries.
Key Skills & Competencies
Strong knowledge of pharma machinery sales cycle (AMC, quotations, PO, PI, FAT, dispatch).
Excellent customer handling & coordination skills with pharma clients.
Proficiency in MS Office, Google Drive, and documentation tools.
Understanding of LC clauses, DA/CAD payment terms, and international documentation.
Strong attention to detail, accuracy, and deadline management.
Qualifications & Experience
Graduate in Business Administration / Commerce / Engineering.
2–5 years of experience as a Sales Coordinator or Sales Support Executive in pharma machinery/packaging machinery industry.
Experience handling AMC proposals, quotations, PO processing, and PI documentation for pharma clients.
Knowledge of pharma compliance needs, installation processes, and service documentation will be an added advantage.
