Job Description
The Accounts/Billing Executive will be responsible for preparing freight bills, maintaining accounts, and handling day-to-day financial transactions of the branch. The role requires accuracy in billing, proper record-keeping, and coordination with operations and customers to ensure smooth financial functioning of the transport business.
Key Responsibilities:
1. Transport Billing & Invoicing
• Prepare freight bills and debit notes based on LR copies, trip details, and customer agreements.
• Verify trip records, diesel slips, and Challans before preparing bills.
• Maintain records of all bills raised and submitted to customers.
• Coordinate with operations and marketing teams to ensure timely billing and collection.
2. Accounts & Bookkeeping••
• Record all daily accounting transactions in billing software.
• Maintain vouchers for payments, receipts, and journal entries.
• Handle petty cash, fuel advances, and expense settlements.
• Maintain ledgers for customers, drivers, and vendors.
3. Reconciliation & Payment Follow-up
• Reconcile customer and vendor accounts periodically.
• Prepare outstanding payment reports and follow up for collection of freight bills.
• Reconcile driver trip advances, diesel, and trip expenses.
• Coordinate with transporters and drivers for payment-related queries.
4. Reporting & Record Maintenance
• Prepare daily and monthly accounts summaries and submit reports to senior.
• Maintain proper filing of bills, vouchers, and supporting documents.
• Support the management during internal audits and account reviews.
