Key Responsibilities 1. Travel Management & Booking (Core Function) • Platform Expertise: Efficiently book tickets (flights, trains, buses) using various online travel agency (OTA) platforms, including but not limited to: o IRCTC (especially Tatkal for urgent train bookings) o MakeMyTrip (MMT) o Via.com o Other company-approved booking portals. • Refundable Bookings: Strategically prioritize and execute refundable bookings whenever possible, in line with company policy, to minimize financial risk from last-minute cancellations. • 24/7 Availability: Be readily available to handle last-minute bookings and last-minute cancellations promptly and efficiently, including outside of standard business hours. • Consultancy Approach: Provide travel advice and options to employees, offering a consultative approach to find the most optimal and cost-effective routes/accommodations. 2. Communication & Customer Service • Client/Customer Communication: Maintain excellent, client-friendly communication with all employees and external clients regarding their travel arrangements. • Approvals: Initiate and track email approvals for all major travel expenditures or deviations from policy. • Chat Support: Be comfortable and proficient in using chat platforms for quick and efficient communication related to booking requests and updates. 3. Administration & Compliance • Data Maintenance: Accurately and consistently maintain detailed travel and expense records in a shared data sheet (e.g., Excel/Google Sheets). • Expense Coordination: Assist in coordinating post-travel documentation necessary for expense reporting and tax preparation (Note: The role is "ready for travel tax" meaning they must provide the necessary documentation to the finance team). • Process Adherence: Ensure all bookings and cancellations strictly adhere to the company's travel and expense policies. Required Qualifications & Experience • Technical Skills: Proficiency in using online booking platforms (IRCTC, MMT, etc.) and strong working knowledge of Microsoft Excel/Google Sheets for data management. • Communication: Exceptional written and verbal communication skills in English • Availability: Should be reachable for occasional urgent travel bookings outside office hours.
