Job Purpose
The Executive Assistant to the Director will provide high-level administrative, organizational, and operational support to ensure efficient management of the Director’s office. The role requires strong communication, confidentiality, multitasking, and problem-solving skills to assist in decision-making, scheduling, and overall business operations.
Key Responsibilities
Administrative Support
Manage and maintain the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
Screen and prioritize phone calls, emails, and correspondence on behalf of the Director.
Draft, review, and manage business documents, reports, and presentations.
Prepare minutes of meetings and follow up on action items to ensure timely completion.
Operational & Business Support
Assist in preparing business reports, presentations, proposals, and other documentation as required.
Coordinate with internal departments and external stakeholders on behalf of the Director.
Support the Director in managing key projects and ensure deadlines are met.
Conduct research and compile data to support decision-making.
Confidentiality & Relationship Management
Maintain strict confidentiality in handling sensitive and confidential information.
Build and maintain professional relationships with internal staff, clients, and business partners.
Represent the Director professionally in meetings and external communications.
Event & Travel Management
Organize company events, conferences, and board meetings.
Plan and coordinate domestic and international travel itineraries, including accommodations and logistics.
Qualifications & Skills
Education: Bachelor’s degree in Business Administration, Management, or related field.
Experience: 1–3 years of relevant experience as an Executive Assistant / Personal Assistant to senior management or directors.
Skills Required:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle pressure, deadlines, and confidential information.
Strong interpersonal skills and professional demeanor.
