Job Title: Executive Assistant to the Owner

Company Overview:
We are a privately-owned project execution company specializing in telecom tower erection, civil works, and data center infrastructure. Our clients include industry leaders such as Airtel. With 100+ concurrent projects and a lean core team, we are now looking to strengthen our leadership support structure with a smart and proactive Executive Assistant.
Role Objective:
To serve as the right hand to the Owner, easing their daily workload, coordinating between departments, tracking operations, and ensuring timely execution across functions. The EA will act as an extension of the Owner’s office, managing schedules, following up on tasks, preparing briefs, and ensuring decisions are implemented. You will play a key role in enabling the Owner to focus on strategic growth while you handle the flow of information and internal coordination.
Key Responsibilities:
1. Executive Support
· Manage the Owner’s calendar, meetings, appointments, and travel schedules
· Draft, review, and manage emails, reports, documents, and communications on behalf of the Owner
· Record and follow up on action items from internal and client meetings
· Prepare meeting briefs and background notes for client reviews, team updates, and vendor calls
· Assist in maintaining personal-professional balance by managing some overlap tasks (if required)
2. Business Coordination & Task Follow-up
· Coordinate with project managers, supervisors, HR, finance, and procurement to ensure alignment on daily operations
· Track progress of key deliverables across departments and flag delays, deviations, or decisions needed to the Owner
· Maintain a live dashboard of project status, resource deployment, and pending tasks
· Ensure that SOPs, systems, and team meetings are being followed as defined
· Act as a checkpoint for escalations and report major issues or inefficiencies to the Owner
3. Communication & Documentation
· Serve as a communication bridge between the Owner and team leaders, ensuring clarity and timely updates
· Document internal discussions and create structured follow-up reports
· Support proposal drafting, client presentations, or vendor documents when needed
· Handle confidential information with absolute discretion and professionalism
4. Operational Oversight
· Visit office and sites occasionally to understand ground reality and cross-verify progress updates
· Identify inefficiencies, unaddressed gaps, or process breakdowns and provide recommendations
· Work with HR and Admin to ensure office operations, approvals, and routines are streamlined
· Prepare regular MIS reports, trackers, and dashboards for leadership review
· Required Skills & Competencies:
· Strong organizational and follow-up skills – able to chase multiple teams tactfully
· High emotional intelligence – professional, respectful, and trustworthy across all levels
· Strong written and verbal communication in English and Hindi (Marathi is a bonus)
· Proficiency in Google Workspace (Sheets, Docs, Gmail, Calendar) and MS Office
· Ability to manage confidential information and sensitive issues maturely
· Analytical mindset – able to interpret reports, budgets, project trackers
· Prior experience coordinating in infrastructure, construction, or project-based industries is preferred
