JOB DESCRIPTIONS FOR EXECUTIVE ASSISTANT
JOB SUMMARY
We are looking for Executive Assistant to the Director, you will be responsible for providing comprehensive administrative support, ensuring smooth daily operations, and facilitating effective communication and coordination within the organization. You will act as a key point of contact and liaison for the Director, handling various tasks to optimize their productivity.
Responsibilities
Manage and maintain the Director’s calendar, including scheduling appointments and meetings.
Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Handle incoming correspondence, emails, and phone calls, ensuring they are addressed promptly and professionally.
Conduct research and compile data to prepare reports and presentations for the Director.
Assist in the preparation of business documents, including reports, presentations, and proposals.
Coordinate travel arrangements, including booking flights, accommodations, and transportation.
Liaise with internal and external stakeholders on behalf of the Director.
Maintain and organize confidential files and records.
Provide administrative support to special projects as required.
Performed general office duties such as ordering Supplies and Managing Office
Qualifications & Skill’s
Bachelor’s degree or equivalent experience.
Should have 3-5 years of experience as an assistant or secretary to the MD of a company.
Proven experience as an Executive Assistant or in a similar administrative role.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong problem-solving abilities and attention to detail.
