Executive Assistant to Managing Director
Job Summary:
We are seeking a highly organized, proactive, and professional Executive Assistant to support the Managing Director (MD). The ideal candidate will act as the right hand to the MD, managing a wide range of administrative and executive support tasks, ensuring efficient operation of the executive office and seamless coordination across departments.
Key Responsibilities:
Administrative Support:
Manage the MD’s calendar, schedule meetings, appointments, and travel arrangements.
Screen and prioritize emails, phone calls, and correspondence.
Prepare and edit reports, presentations, and other documents.
Maintain confidential files and records.
Meeting Coordination:
Organize internal and external meetings, including board meetings and senior leadership meetings.
Prepare meeting agendas, take minutes, and follow up on action items.
Communication:
Act as a liaison between the MD and internal/external stakeholders.
Draft high-level correspondence and communications on behalf of the MD.
Maintain professionalism and confidentiality in all interactions.
Project Assistance:
Assist in managing and tracking key strategic projects and initiatives.
Conduct research, prepare briefing materials, and compile data for decision- making.
Office & Team Support:
Coordinate with department heads and teams on behalf of the MD.
Help organize corporate events, town halls, and staff briefings.
Support with expense reports, reimbursements, and other office procedures.
Qualifications:
Bachelor’s degree in Business Administration, Management, or related field.
2+ years of experience as an Executive Assistant or in a similar role supporting C-suite executives.
Exceptional organizational, communication, and interpersonal skills.
Ability to multitask and work well under pressure in a fast-paced environment.
High level of integrity and discretion in handling confidential information.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom, Slack).
Preferred Skills:
Experience working in a corporate or multinational environment.
Strong problem-solving and decision-making skills.
Familiarity with project management tools or basic financial reporting.
Working Conditions:
Office-based with occasional travel required.
May require flexible hours based on MD’s schedule.
