Job Title: Executive Assistant
Location: Bodakdev - Sindhubhavan, Ahmedabad, India
Job Summary: The Executive Assistant to the Chairman will provide high-level administrative support to one or more senior executives. This role requires excellent Communication, organisational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will be proactive, resourceful, and capable of managing a wide range of administrative and executive support tasks. Experience in the pharmaceutical industry is a plus.
Responsibilities:
Manage executives' calendars, schedule meetings, and coordinate appointments, both internally and externally.
Arrange and coordinate complex travel itineraries, including flights, accommodations, and ground transportation.
Prepare and edit correspondence, reports, presentations, and other documents.
Screen phone calls, manage email communications, and prioritise and distribute information appropriately.
Organise and maintain electronic and paper filing systems, ensuring accuracy and confidentiality.
Prepare agendas, take minutes, and follow up on action items for meetings.
Assist in the preparation of expense reports and track departmental budgets.
Coordinate office activities and ensure the smooth operation of the executive's office.
Act as a point of contact between executives and internal/external stakeholders.
Assist with special projects and initiatives as needed.
Maintain a high level of professionalism and interact effectively with all levels of the organisation and external partners.
Handle sensitive and confidential information with discretion and integrity.
Potentially assist with personal tasks for the executive, as required.
Qualifications:
Proven experience as an Executive Assistant or similar administrative role, preferably within the pharmaceutical or healthcare industry.
Excellent organisational and time-management skills with the ability to prioritise tasks and meet deadlines.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential information with discretion.

Bachelor's degree preferred.
