Executive Associate – Founder’s Office

Reporting to: Founder

Location – Santacruz

Role Overview

As the Executive Associate to the Founder, you will be at the heart of company’s growth — supporting day-to-day operations, managing studio-level coordination, and helping build systems that scale. You'll work directly with the Founder and interface with trainers, clients, and the social media team to ensure everything runs smoothly.

We're looking for someone proactive, emotionally intelligent, organized, and ready to grow with the brand.

Key Responsibilities

·         Client Coordination

-  Manage demo/trial bookings across studios

-  Respond to inquiries and rescheduling requests via WhatsApp & App

-  Maintain high-touch client experience without micromanagement

·         Studio Support

-  Coordinate daily updates with studio trainers (schedules, bookings, walk-ins)

-  Flag any issues (cancellations, feedback, trainer needs) to the Founder

·         App & Scheduling Oversight

-  Use the app to block/demo slots and monitor utilization

-  Ensure studio calendars are accurate and updated in real-time

·         Cross-Team Collaboration

-  Liaise with the social media team for real-time content needs

-  Track feedback from leads and share with marketing for better campaigns

·         Founder Support

-  Filter incoming communications to prioritize Founder’s time

-  Help streamline systems (checklists, reports, SOPs) as the brand scales

-  Be a calm, reliable point of contact who can take ownership

You Are Someone Who...

·         Is a natural multi-tasker and strong communicator (spoken + written)

·         Has a calm presence, even in high-pressure moments

·         Understands how to balance client service with operational structure

·         Can work independently without daily handholding

·         Is passionate about wellness, movement, or boutique brands

Bonus if You Have:

·         Experience with scheduling tools or CRM systems

·         Background in wellness, fitness, hospitality, or creative operations

·         Interest in scaling brands or working closely with founders
