JD of EA to Director
1) Administrative Support: Manage and prioritize the executive's calendar, appointments, and meetings. Coordinate travel arrangements, including booking flights, accommodations, and transportation. Prepare and organize documents, reports, and presentations for meetings.
2) Communication Management: Serve as the primary point of contact for internal and external stakeholders, including screening and prioritizing phone calls, emails, and correspondence. Draft and prepare professional business communications, letters, and memos on behalf of the executive.
3) Meeting Coordination: Schedule and arrange meetings, conference calls, and events. Prepare meeting agendas, materials, and minutes. Ensure that meeting logistics are in place, including room setup, audiovisual equipment, and catering, if necessary.
4) Information Management: Maintain confidential and sensitive information with utmost discretion. Organize and manage electronic and physical files, documents, and records. Retrieve and provide information as needed, utilizing appropriate tools and technology.
5) Project Support: Assist in coordinating and managing projects or initiatives as assigned by the executive. Conduct research, compile data, and prepare reports. Monitor project timelines, deliverables, and follow-up actions.
6) Relationship Building: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and team members. Liaise and collaborate with various departments to ensure smooth communication and coordination of activities.
7) Travel and Event Management: Coordinate travel arrangements, including flights, accommodations, and itineraries. Plan and organize company events, conferences, and business functions. Assist with logistical arrangements and support during events.
8) Expense and Budget Management: Monitor and reconcile expense reports, ensuring compliance with company policies. Assist in budget tracking and reporting. Handle financial transactions and documentation related to expenses and reimbursements.
9) Special Projects and Initiatives: Support special projects and initiatives as assigned by the executive. Conduct research, analyze data, and provide recommendations. Assist in driving key organizational objectives and strategic initiatives.
