Job Summary:
We are seeking a detail-oriented and organized Document Executive to manage and oversee the documentation processes within our organization. The successful candidate will be responsible for ensuring the accuracy, quality, and integrity of all documents, maintaining proper version control, and ensuring compliance with internal and external standards.
Key Responsibilities:
Receive, track, and manage documents using document control procedures and systems (e.g., EDMS).
Ensure proper document classification, sorting, filing, and archiving.
Maintain document logs, update document registers, and control document numbering systems.
Distribute project documents and ensure timely delivery to internal teams and external stakeholders.
Maintain version control and ensure only the latest versions of documents are used.
Ensure confidentiality and proper access control for sensitive documents.
Assist in audits and compliance checks by providing documentation as required.
Train team members on document control procedures, if necessary.
Liaise with project managers, engineers, and other departments to support documentation needs.
Requirements:
Proven experience as a Document Controller or similar role.
Familiarity with document control systems and software (e.g., Aconex, SharePoint, Procore, etc.).
Excellent organizational and time-management skills.
Attention to detail and a commitment to accuracy.
Ability to work independently and as part of a team.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Knowledge of ISO standards and document management best practices is a plus.
Education & Experience:
High school diploma or equivalent required; an associate’s or bachelor’s degree is preferred.
2+ years of experience in a document control or administrative role.
