Job Summary:
We are seeking a proactive and detail-oriented Back Office Executive who can efficiently handle administrative tasks, support business development activities, coordinate with clients, and manage daily operational functions. The ideal candidate will play a vital behind-the-scenes role in ensuring smooth business workflows and maintaining client satisfaction.
Key Responsibilities:
Back Office & Administration
Manage and maintain company records and internal databases
Perform accurate data entry, document management, and reporting
Handle internal communications and coordinate across departments
Assist in preparing presentations, reports, and business documentation
Business Development Support
Assist the sales/business development team with research and lead generation
Follow up with prospects via email, phone etc
Schedule meetings, prepare pitch materials, and track follow-up actions
Maintain and update sales databases and trackers
Client Coordination
Act as a point of contact for client queries and updates
Coordinate with clients for documentation, meetings, or information exchange
Ensure timely communication and issue resolution
Build strong relationships with existing and prospective clients
Operations Handling
Support day-to-day operational tasks such as order processing, logistics coordination, and vendor follow-ups
Monitor task progress and ensure timely completion
Liaise with internal teams to align on deliverables
Provide support for process improvements and efficiency tracking
Required Skills and Qualifications:
Bachelor’s degree in business, Administration, or related field
Proficient in MS Office (Excel, Word, Outlook).
Strong communication and interpersonal skills
Attention to detail with excellent organizational abilities
Ability to handle multiple tasks and work in a fast-paced environment
Customer-focused mindset with a proactive attitude
