We are looking for a Tender Executive to join our team at Security Internal Service. This role involves managing essential data processes, ensuring accuracy and providing administrative support. Get ₹12000 - ₹15000 salary along with career growth opportunities in a collaborative environment.
Tender Identification & Analysis
Monitor various tender portals, newspapers, and client websites for relevant tenders.
Analyze the tender document thoroughly—scope of work, eligibility criteria, terms & conditions, technical specifications, and financial implications.
Document Preparation
Coordinate with internal departments (operations, finance, legal, HR, etc.) for collecting required documents.
Ensure all tender documents are compiled as per compliance and customer requirements.
Format and prepare both technical and financial bids accurately.
Pre-Bid Meeting Participation
Attend pre-bid meetings organized by the client to understand tender requirements, raise queries, and gather clarifications.
Record minutes of the meeting and communicate key updates or changes to relevant internal stakeholders.
Clarify technical specifications and commercial terms to prepare a competitive bid.
Bid Submission
Ensure timely submission of tenders—both online and offline as required.
Upload necessary documents to e-portals (GeM, CPPP, State Government, etc.) and ensure successful submission.
Handle the physical dispatch of hard copy documents if required.
Vendor Registration & Documentation Management
Handle client/vendor registration processes for various organizations, including PSUs, government departments, and private clients.
Maintain updated records of company documents, licenses, certificates, and financial statements.
Follow-Up & Communication
Maintain consistent communication with clients, consultants, and internal teams for status updates, clarifications, and submission requirements.
Follow up on submitted tenders for result updates or negotiations.
Cost Estimation & Commercial Inputs
Liaise with the finance and procurement team for pricing inputs.
Assist in preparing competitive pricing while ensuring profitability and compliance.
Compliance & Legal
Ensure that all submissions comply with legal, regulatory, and organizational requirements.
Coordinate for EMD/BG submissions and manage renewals and returns.
MIS & Reporting
Maintain tender tracker/MIS for all ongoing and submitted tenders.
Provide regular reports to senior management on tender pipeline, submissions, wins/losses, and upcoming opportunities.
Job Requirements:
The minimum qualification for this role is Graduate and 0 - 1 years of experience. The position requires strong organizational skills, attention to detail and the ability to handle multiple tasks.
