Overview We are looking for a proactive and highly organized HR & Administrative Executive to manage the daily administrative and human resources support functions of our office. The successful candidate will be the backbone of office operations, ensuring all administrative processes and basic HR tasks run efficiently. Key Responsibilities 1. Human Resources Administration (HR Support) • Onboarding & Offboarding: Assist in the initial documentation and formalities for new hires (collecting documents, creating personnel files) and handle basic paperwork during employee separation. • Communication: Draft and distribute standard HR letters, memos, and announcements (e.g., confirmation letters). • Support: Serve as the first point of contact for employee basic HR queries, escalating complex issues to the senior HR team. 2. Office Administration & Facilities Management • Office Supplies: Manage and maintain inventory of all office supplies, stationery, and pantry items. Place orders and ensure timely replenishment. • Record Keeping: Manage general office documentation, filing systems, and incoming/outgoing correspondence. • Maintenance & Repairs: Oversee minor office maintenance, ensuring equipment (printers, ACs, etc.) is in working order and coordinating repairs when necessary. • General Administration: Assist in organizing internal meetings, preparing meeting rooms, and managing basic logistics. • Blue-Collar Workforce Management: Oversee and coordinate the daily activities of housekeeping staff, office boys, and other support staff to ensure smooth functioning of office operations. • Housekeeping & Cleanliness Oversight: Ensure the office premises are clean, well-maintained, and organized at all times; supervise cleaning schedules and performance. • Facility Utilities Management: Monitor and manage utilities such as water dispensers, pantry supplies, and other daily operational needs. 3. Asset Management • Issuance & Recovery: Coordinate the issuance of assets to new employees and ensure timely and complete recovery of assets from departing employees, documenting all handovers. • Inventory Tracking: Maintain a comprehensive and current inventory of all company physical assets including IT equipment (laptops, monitors, phones), furniture, and office machinery. • Asset Register: Maintain the Asset Register/Database (using Excel or a designated system), ensuring details like serial numbers, purchase dates, assigned user, and condition are always accurate. • Auditing: Assist in conducting periodic physical verification/audits of assets to reconcile records against physical stock. Required Qualifications & Experience • Education: Bachelor’s degree preferred (any stream). • Technical Skills: Proficiency in MS Office Suite (Word, Excel) is essential. • Prior experience managing a travel desk or working in an administrative role will be considered an added advantage. • Soft Skills: o Highly Organized: Exceptional attention to detail and ability to manage multiple tasks simultaneously. o Communication: Strong verbal and written communication skills. o Discretion: Ability to handle sensitive and confidential information with professionalism.
